Asset typically is a thing in the real world that is the subject of inspection and is characterized by a Name name, a set of Properties and Type.

Navigation

Select any Location properties and type.

An Asset is linked to a Checklist and can be found under a particular Location in Azenzus data structure.

Properties

List of Assets can be represented as a worksheet in Excel, and the Properties as the column headers in that worksheet.

All of the Assets Each Asset inside an Inspection will have similar property types, but with differing valuescan have an individual set of properties.

These different property values identify an Asset and provide information about each unique Asset.

For example, an Assetmay can have an External Id, Tag, Name , GPS Coordinates, Serial Number properties, which will be different for every individual Asset.

Each Asset shall have at least the following properties:

  • External Id

  • Name

  • Type

  • Inspection type: is not visible in Azenzus Cloud, but is mandatory in Excel sheet for import.

For example, a safety inspection of electrical equipment in an office will contain Assets with types such as: Computer, Printer, Heating appliance, HVAC, Copy machine, Vending machine, Coffee machine. The Inspection type defines what kind of Checklist should be used (e.g. Visual inspection checklist, Detailed inspection checklist, Function test checklist) as it might affect which questions shall be asked.

Azenzus Inspection Manager allows structuring Properties of an Asset into Groups in order to simplify information review. For example, one Asset can have a group titled Identification, with the properties Tag, External Id, Serial Number, which will then be rendered on the screen as a block of properties with block name Identification.

Checklist

The Checklist defines how to perform inspection on the Asset, which questions should be asked and which answers could be used by inspector to answer the question.

The functionality and structure of a Checklist is discussed in detail in the Checklist section.

Attachments

It is also possible to add files as Attachments to Asset in order to provide to inspector any additional information required to perform inspection. For example it can be picture of Asset to look for, access instructions, health and safety instructions, operator manual, spare part lists, etc.

As attachments it is possible to add all standard office files such as PDF, DOC/DOCX, XLS/XSLX, TXT.

Photos

The images attached to an Asset are considered to be a unique type of attachments, specifically Photo. They are presented in the same tab as the Attachments, but have a special treatment in Azenzus Inspection Manager.

As a Photo we consider any attachment with image file format (JPG/JPEG, PNG, GIF).

For every Photo added to an Asset user can see the following:

  • photo name

  • preview thumbnail of the Photo

  • comment (if available)

In Azenzus Inspection Manager, the same information will be presented the following way:

Edit Asset properties in Azenzus Inspection Manager

Select a Location → click on the Location row to open the list of relevant Assets.

Press the triangle button next to a selected Asset to expand and view its properties.

Double-click on the property field / press the pencil icon to edit a property.
The newly entered property / information is saved immediately.

Tip

Property values edited in Inspection Manager will become visible in Inspection App only after synchronisation.

Configure Asset properties

There is an option to configure which specific Asset properties will be displayed in the list of Assets either on a mobile device screen in the Inspection App or on the web interface in Inspection Manager.

Configuration is only possible via Azenzus Inspection Manager web interface.

It is a good practice to capture photos of an Asset during an the inspection, as it may later serve as additional verification source for Asset data or to check that /confirms inspection of the correct Asset was inspected. The suggested list of photos that shall be taken for every Asset is:

  • overall general picture of the an Asset

  • picture of the tag/identification plate (if any is available)

  • picture of the a nameplate with manufacturer/a serial number information

  • additional pictures of the cables or pipes connected to Asset, mounting place, etc

Mandatory properties

Each Asset shall have at least the following properties:

  • External Id

  • Name

  • Type

  • Inspection type

Property Name and data type

You start defining Asset properties in the same way as you create column in the worksheet when you give it a name and populate it with data. 

Each column has a name. The Property name is determined from the column based on the top cell in the spreadsheet of each column. The datatype for each property is String

Property order

The order of properties are the same as they appear in the worksheet. Same order of properties will be visible in Azenzus Cloud and in mobile apps.

Provide meaningful titles (names) to your properties

Try to use common titles in English (we do plan to support more languages in future releases). For example, if you are adding a column with telephone numbers, the good name for property will be Telephone, or Telephones, or Phone Number
